Google apps constituency group

Wendy Woodward – Northwestern University

Constituency group mainly to discuss how things are going.

Several people are concerned about the time it takes for updates on outages. They are saying that they could wait for an hour or more before they are alerted or updated.

Folks would also like to know where the list of core services can be found. This is found on the main services page in the control panel.

Question on differences between google groups and listservs. Can we use google groups like a mailing list server? One university says that they have done this at southwestern university, the challenge is that there is a lot of manual effort since the API doesn’t help.

Request for enhancement to enhance the google groups API to support all features that are currently available in the web client.

Question about who is using google groups verses a different listservs product. A lot of it depends on the size of your institution. If you have a lot of emails outside your domain, then you can hit the max cap for email, and block your email.

NYU that’s a good page talking about when to use on or the other.

Product called grouper may be an option to integrate between active directory and google groups. NYU and Berkeley are also looking at that same topic.

Google groups does have a shared inbox which is very useful for a help desk scenario. It can also be a replacement for exchange and public folders. Another university uses banner to populate groups. They also use google sites for each class.

Google plus air allows you to broadcast to many people at a time. It can be used for lectures, or broadcast. It can also be used for virtual office hours. It does mean that everything that is done is open to the public. You can also save it as a YouTube and review it later.

There are some concerns about SLAs and services that are outside of the core products. Important to let students know about what is core, and what is consumer solutions.

Big plug for all members of internet 2 to encourage them to work together with google and others around licensing and working together.

Google communities are fun. Some classes are using it for brainstorming and using ideas. It is google plus with privacy built in. Not as open as google plus. You can define groups and confine the membership and participants. API supports creating modifying and deleting these communities.

Multi domain trust relationships. Would be great to have sub domain trusts as well. Anyone with Multi domains or sub domains that have separated them out to their own domains. There are some problems between domains. Can’t trust between specific domains. Would like to be able to trust between two specific domains. True aliases would also be an option to solve this problem.

No easy way to move an account from one domain to another domain. University of Alabama has written a tool that might do this. It would be nice if google would allow us to do that.

Data liberation front – might be a tool that could migrate accounts. Google take outs may be another option for migrating accounts.

This is becoming more of a critical issue for several universities as their students graduate and they want to move the students to another domain like an alumni domain. Students want to keep their accounts and their documents. This is also a problem when students become staff. What happens to their accounts and their data? Some are giving them another account. This also is a challenge since then they have multiple accounts.

Managing chrome books. Small pilots installed and are using them. Sounds like there is some light adoption. Some adoption but not widespread at the university level.

Google BAA experiences – business associates agreement. Allows them to hold HIPPA data. Google was not willing to sign BAAs before, but now they are willing to. It only covers mail, calendar and drive. You then have to turn off all other services for it to be enforced.

Google vault if enabled breaks google handouts. Is anyone else using this? No. It is a current bug and problem. But google is working on it.

Google drive is running out of space. Anyone have any info on when you can buy more drive space? GW did buy more drive space. Google does offer a bulk option for all accounts.

Recommendations on how to game the system around drive limits which I won’t document here… 🙂
